Under the general supervision of the division Budget Manager, the Professional Development Programs Coordinator supports the Associate Dean of Graduate Students and Postdoctoral Scholars and other professional directors all of whom are responsible for programs designed to help graduate students and postdoctoral scholars succeed. This role will assist with program coordination including scheduling and supporting events, responding to inquiries from faculty, staff and prospective graduate students and postdoctoral scholars, budgetary management, and communications updates including website maintenance. As a key resource supporting multiple programs: Graduate Pathways Institute (GPI), Professors for the Future (PFTF), Graduate Mentoring Initiative, Mentoring Up, Faculty Academy and Postdoctoral Scholars initiatives, the incumbent provides essential program coordination, administrative support, and management. As a first point of contact, makes independent judgments, decisions, and recommendations that includes intake and triage of requests and manages scheduling, communications, and workflow tracking. Analytical skills to evaluate information and apply appropriate principles required to accurately record data and retrieve information as required. · Financial management experience to interpret and analyze data from a variety of sources, prepare budgets, and present financial information in understandable formats. Minimum Knowledge, Skills, and Abilities (KSA): · With minimal supervision, exercise efficient time management, establish priorities, meet deadlines under pressure, handle diverse tasks and assignments, and be flexible in order to accommodate and respond to direction from multiple sources. · Take initiative and exercise independent judgment. · Maintain excellent working relationships with other Graduate Studies staff and other campus units. Work cooperatively and effectively as a team member. · Maintain confidentiality and exercise discretion. Maintain composure under heavy workload sufficient for effective performance, conflicting priorities, and other demands. · Skills in computer systems, spreadsheets, database management, word processing, and presentation software, using local networks and e-mail. Skill in applying various software programs to accomplish assignments. Proficient in follow through skills. PREFERRED QUALIFICATIONS Preferred Education/Experience: · Experience with scheduling and supporting events. · UC budgeting and advanced accounting experience (Excel preferred). · Experience interpreting and applying policies and procedures (UC preferred). · Marketing or website experience.
